(1)Prior to submitting a written complaint members should, where possible and appropriate, first discuss any concerns that they may have in relation to club activities with a member of the Executive Committee, Club Welfare Officer or relevant team captain so that a suitable informal resolution may be considered. If not possible or appropriate, or an informal resolution cannot be agreed, then the member should follow the complaints process identified in the remainder of this clause 9.

(2)Prior to submitting a written complaint, members should refer to the University Sports Club Incident Pathway (Students/Adults) to determine the complaints procedure(s) that should be followed. (c) Where indicated by the University Sports Club Incident Pathway (Students/Adults), or when agreed by the Executive Committee as the appropriate course of action following their meeting, the complaint will be referred to the Senior Treasurer who will conduct an investigation.

(4)Complaints against a member(s) of the Executive Committee may be lodged with the Senior Treasurer, or, where a further conflict of interest arises, with the Sports Service who will advise on the appropriate procedures depending on the nature of the complaint.

(5)The Executive Committee may also trigger the complaints process in the event of an observed or alleged breach of the Club Code of Conduct.

10. Disciplinary processes

(1)Subject to the remainder of this clause 10, the Executive Committee, in consultation with the Senior Treasurer, shall have the authority to expel or to suspend a member or members whose actions are felt to be such as to bring the Club into disrepute, or materially harm or present a risk of material harm to the interests of its members.

(2)The Executive Committee, in consultation with the Senior Treasurer, may also take other disciplinary action in respect of a member of the Club, commensurate with the seriousness of the offence.

(3)In line with clause 9, written notice of any investigation by the Senior Treasurer will be provided within 28 days of a complaint being received. In the case of serious misconduct, the Club Executive Committee, in consultation with the Senior Treasurer, may suspend a member pending the outcome of the investigation.

(4)The member against whom a complaint has been made will be given an opportunity to make written or oral representations, following the conclusion of any investigation, before a decision is taken regarding expulsion. The expulsion of a member can only be effected, following a majority vote of all Executive Committee members.

(5)In the event of an expulsion, the excluded member is required to return all equipment, documents and finances belonging to the Club within 7 days. They will not be entitled to any full or partial refund of annual subscriptions.

(6)If a member who has been excluded, suspended or subject to other disciplinary action pursuant to this clause wishes to appeal the decision, that appeal should be made to the Secretary of the University Sports Committee who will convene a Review Group from members of the Sports Committee/Sub-Committees. The Review Group will consider the investigation process and the facts of the case and their decision will be final.

Introduction

The Padel Club (CUPTC) is fully committed to safeguarding and promoting the well-being of all its members to ensure a positive and enjoyable experience.

All those involved in CUPTC activities, whether they are involved as participants, coaches, officials or spectators, are therefore required to adhere to the standards of behaviour – set out within this Code of Conduct - and to support the mission of the CUPTC. This Code of Conduct has been developed to ensure the highest possible standards of competition and sportsmanship as well as promoting fairness, honesty and positive behaviour in relation to the conduct of all those representing CUPTC.

Our commitment

CUPTC respect the rights, dignity and worth of every person involved in its activities. CUPTC is committed to team members enjoying padel in an environment free from discrimination, intimidation, harassment and abuse. CUPTC believes that it is the responsibility of all of its members to challenge discriminatory behaviour and promote equality of opportunity.

Affiliations

CUPTC is governed by the constitution of the Cambridge University Padel Tennis Club, which is registered with the University of Cambridge Sports Service. This Code of Conduct is in addition, and by no means replaces, the standards set by Cambridge University Padel Tennis Club, the student’s individual college and the overarching University regulations.

CUPTC is also affiliated to the University of Cambridge and abides by their regulations regarding their respective competitions.

Standards of behaviour

Members of Cambridge University Padel Tennis Club are solely responsible for their conduct when representing the CUPTC. Members must therefore:

• Respect the rights, dignity and values of others;
• Operate within the rules of the sport.
• Treat facilities, staff and students at the University of Cambridge and other institutions with respect and abide by any rules that may apply;
• Be aware of how their actions may be perceived by others;
• Maintain high standards of personal behaviour at all times;
• Conduct themselves in a reasonable manner relating to offensive language and temperament
• Refrain from any form of bullying or harassment of others. Harassment is any offensive conduct based on a person’s race, sex, gender identity, national origin, colour, disability, age, sexual orientation, marital status, religion or any other status protected by law.
• Respect the decisions of officials, making all appeals through the appropriate formal process and respecting the final decision;
• Not condone, or allow to go unchallenged, any form of bullying, harassment or discrimination if witnessed;
• Refrain from the use of and involvement with illegal substances at all times.
• Not act in an unlawful manner;
• Not encourage or pressure others into acting against the code;
• Understand the repercussions of any breaches of this Code of Conduct.

Health and safety

The Padel Club is strongly committed to encouraging members to take part, but the health, well-being and safety of each individual is always our paramount concern. The Club will therefore take all reasonable steps to ensure that all its activities are safe in line with the Club Safety Policy (see Club Safety Policy as attached in Club member’s welcome email).

To support the Club, all members are expected to:

• Take reasonable care for their own health and safety and that of others who may be affected by what they do or not do.
• Co-operate with the club on health and safety issues.
• Correctly use all equipment provided by the club.
• Not interfere with or misuse anything provided for your health, safety or welfare.
• Ensure that they update the club and coaches with any medical information or changes to emergency contact details.

Anti-doping

Members of the Club must adhere to the requirements of the World Anti-Doping Agency (WADA) code.

Please note that Team Members could potentially be subject to random testing during competitions, particularly those at competing at National Level and above. Club Members caught with banned substances in their system will be subject to disciplinary proceedings.

Publications, internet and social media

CUPTC wishes to promote the club positively both within the University and externally. It recognises that its publications, online, print and social media are important tools in recruiting new members and engaging with alumni and potential sponsors. It is the responsibility of all Cambridge University Padel Tennis Club members to manage their personal social media presence responsibly. As such, all members are responsible for ensuring that they:

• Refrain from publishing comments about other clubs, players or judges and any controversial or potentially inflammatory subjects.
• Avoid hostile or harassing communications in any posts or other online communications.
• Identify all copyrighted or borrowed material with citations and links. When publishing direct paraphrased quotes, thoughts, ideas, photos or videos, give credit to the original publisher or author.
• Review responses to online posts and resolve any concerns before they are posted.

Social events

Social functions form an important part of a club’s activities. CUPTC is committed to ensuring that all students are able and encouraged to participate in student activities in an atmosphere free from discrimination or fear. As such, CUPTC will aim to organise a range of social events that are as inclusive as possible. Members should be aware that:

• Participation in any form of social activity is completely optional.
• They must not force others to participate in initiations and/or other social and sporting events run by the CUPTC.
• Members must be made aware that they can opt-out of social activities without fear of undue pressure, reprisal or any other form of discrimination at any point.

Breaches of the Code of Conduct

The CUPTC complaints and disciplinary procedures, detailed in the Club Constitution, may be applied when a member breaches the Code of Conduct, engages in any activity that adversely affects the smooth running of the Club or brings the CUPTC name into disrepute.

In the case of serious misconduct, the Club Executive Committee, in consultation with the Senior Treasurer, may suspend a member pending the outcome of an investigation.

Welfare

Cambridge University Padel Tennis Club takes the welfare of its members seriously. Any member of the Team that has any concerns regarding their welfare or those of others involved in Team or Club activities can discuss these, in confidence, with the Club Welfare Officers.

Signed by Haris Khan (President), and Jaya Kumar Das, Lucy Wadley and Mia Edgworth (Welfare Officers), 31 August 2026.

This website and payments

When you join, we ask for an emergency contact’s name and phone number, any medical conditions that might affect your ability to play, and whether you agree to the Code of Conduct, give photography consent and agree to this Privacy Notice. These answers are stored with your membership payment in Stripe, where only the committee can see them. They are used to look after you at club sessions and events. Please make sure your emergency contact is happy for you to share their details with us.

Payments for memberships and club merchandise are processed by Stripe. When you pay, Stripe receives your name, email address and card details, and for merchandise your delivery address. We can see your name, email address, what you bought (including the size and any customisation you choose, such as a name) and your delivery address, but never your full card details. Stripe's own privacy policy is at stripe.com/privacy.

This website is hosted by Vercel, which processes technical information such as your IP address in order to deliver the site securely. Fonts are loaded from Google Fonts, which also receives your IP address.

When you sign in to the Members Area, a sign-in token is kept in your browser for that tab only, and is removed when you close the tab or sign out. We do not use tracking or advertising cookies. We use Vercel Web Analytics to count visits to each page; it does not use cookies or identify you.

If you play Padel Pong against a friend, your two devices connect directly to each other, so each can see the other’s IP address. PeerJS (peerjs.com) runs the free service that introduces the two devices using a short game code, and if a direct connection isn’t possible the game is relayed through PeerJS or Cloudflare (cloudflare.com), so they also receive your IP address. Nothing else about you is sent, and nothing about the match is kept.

If you add your score to the Padel Pong leaderboard, we keep the name you enter, your best score and a random code saved in your browser, which lets your new best replace your old one. The name and score are shown publicly on the leaderboard. The committee may rename or remove entries. To have yours removed, email secretary@cuptc.com.

Committee members' names, roles and photos are shown with their consent. To have yours changed or removed, email secretary@cuptc.com.
